Now digital signature certificate and in private contracts with more than 2 parties – How it works

The ability to digitally certify their signatures in private contracts with more than two parties have from today Wednesday the citizens. This is another expansion of the operating system of docs.gov.gr, which was implemented by the National Network of Technology and Research Infrastructures (EDYTE SA – GRNET), a supervised body of the Ministry of Digital Government.

For the digital confirmation of the authenticity of their signature in a private contract, citizens follow the same steps with those required to complete an Authorization or Responsible Declaration. Specifically, the first signatory enters docs.gov.gr and after selecting the option “Digital Certificate of Private Agreement” is authenticated:

• either via Taxisnet codes, if the citizen has a confirmed mobile phone number,
• or with the codes web banking (National Bank of Greece, Piraeus Bank, Alpha Bank, Eurobank, Attica Bank, Pancretan Bank, Epirus Bank, Cooperative Bank of Karditsa, Bank of Central Macedonia, Bank of Chania or Deposits and Loans Fund).

Then, after confirming his details, he chooses to create a new contract through the relevant option and fills in the VAT numbers and the names of the co-signatories, who thus acquire the opportunity to sign the document. He then posts in .pdf the document in which he wants to certify the signatures of himself and the parties. At the same time, he chooses whether he wants the certificate in Greek or in English. Finally, after confirming the accuracy of his details and those of the parties, he signs and certifies the authenticity of his signature. To complete the signature, it is necessary to use one-time codes (OTP – One Time Password), which are sent to the certified mobile phone number that the citizen has already declared from an earlier certificate, responsible statement and authorization or through entry in the National Communication Register (NMS).

Each subsequent signer, after visiting docs.gov.gr and selecting “Digital Certificate of Private Agreement”, authenticated in the same way. He then selects the “Pending” field to locate the document to be signed and continues the same process. It is reminded that all parties are also required to fill in the one-time password (OTP – One Time Password) during the signing process, which is sent to the certified mobile phone number they have declared. Only when the process is completed by all parties, the signed document is digitally certified in their mailboxes, at my.gov.gr.

The document can be verified either by scanning the QR code or by entering the unique document code in docs.gov.gr/validate. At the end of each page are written the unique code and the QR code of the document to facilitate the verification process. In addition, the last page of the document lists the names, patronymics, and VAT numbers of all co-signatories along with the date and time of the last signature. In this way, the security of transactions and the reliability of documents that are circulated both between citizens and between citizens and the State are strengthened.

The Minister of State and Digital Governance, Kyriakos Pierrakakis, stated “The digital transformation of the State envisages the addition of new digital tools and applications that facilitate the daily life of citizens. At the same time, it aims to further improve and strengthen the services we have already put into operation. In this context, we now enable the signing of a private contract for more than two parties, serving a series of transactions that is added to the existing ones so that citizens save time – earn a living.

It is reminded that docs.gov.gr was put into operation in November 2021, fully completing the digitization of services related to the original signature for all private documents written by citizens. To date, through docs.gov.gr, the authenticity of the signature has been confirmed in more than 335,000 documents.
